Book Sale Volunteer Duties

Summary of Volunteer Duties for the FOSL Spring, Summer, and Fall Book Sales

The Friends of Smyrna Library holds 3 weekend book sales every year. They are:

  • Spring: Coincides with National Library Week in April (Saturday, Sunday)
  • Summer: Two weeks after school starts back in August (Saturday, Sunday)
  • Fall: Coincides with National Friends of Library Week in October (Saturday, Sunday)

To be successful, each FOSL book sale requires a combined 100 to 150 volunteer assignments (up to 15 per volunter shift) to be staffed by volunteers before, during, and after the book sale to sort/price books, setup the sale, work the sale, and restock the FOSL Bookstore with leftover inventory after the sale. We manage volunteer assignments for each book sale shift with SignUpGenius.com. It's easy to register with and pick the shift that is best for the volunteer's schedule. Volunteers also receive e-Mail/Text reminders 2 days before their shift.

FOSL volunteer events are well-orgainzed so volunteers can start as soon as they arrive. Below is a summary of duties for each type of book sale volunteer shift.

Book Sorting/Pricing Shift Duties (Multiple Dates are Scheduled Before Book Sale Weekend)

  • Setup book sorting tables
  • Retrieve book boxes from library storage
  • Sort and price dot books by types and genres
  • Box up priced books in labeled boxes
  • Store ready-to-sell book boxes in storage closet
  • Put away sorting tables
  • Take photos of consenting volunteers for FOSL social media

Book Sale Setup Shift Duties (The Day Before the Book Sale)

  • Setup book sale tables
  • Organize ready-to-sell book boxes by type and genre on tables
  • Unpack book boxes, fold box lids into the inside, and repack books spine up with the spine text going in the same direction so they are easy to read and shop
  • Set-up check-out area and include FOSL brochures and FOSL logo merchandise for sale
  • Hang indoor and outdoor book sale signs
  • Hang indoor and outdoor book sale banners
  • Hang pricing sheets and Venmo App & PayPal payment instructions
  • Prepare volunteer name tags and lanyards
  • Label book sale boxes with type and genre
  • Enumerate 6 boxes (1 to 6) on the four box lid flaps for shoppers to place books in if buying an amount that is hard to carry around
  • Take photos of consenting volunteers for FOSL social media

Book Sale Weekend Shift Duties

  • Greet shoppers as they arrive and explain the layout of the book sale boxes and payment options
  • Two Cashiers (One must be a FOSL Board Member per shift) will accept cash payments as well as confirm digital payments on phones.
  • Two to Four Check-Out Helpers will calculate the shopper's purchase price, assist shoppers paying with Venmo or PayPal, and help bag the purchased books to ensure a speedy check-out.
  • Ensure every shopper is thanked and receives either a FOSL business card or brochure
  • Consolidate book boxes as inventory is sold and keep the books organized every hour
  • Restock from book storage closet if more books need to be put out once selling space is available.
  • Take photos of consenting volunteers for FOSL social media

    ** Please arrive 5 minutes before your scheduled shift. A volunteer Name Tag (first name) and Lanyard will be provided.

Post Book Sale Book Sorting/Restocking Shift Duties (The Day After the Book Sale)

  • Price dot books and stock FOSL Library Bookstore from leftover book sale inventory
  • Sort and organize any remaining books for the next pop-up sale
  • Retrieve recently donated books from library storage, (sort if time permits), box, and store in book sale book closet.
  • Put away book sale tables
  • Tidy up book sale meeting room
  • Take photos of consenting volunteers for FOSL social media
